Why Key Storage Matters for Your Business

For physical businesses, a single lost key can be detrimental to the safety of premises, assets and important documentation. Aside from the risk of theft, incorrectly handled keys can disrupt business operations and day-to-day requirements where access to an item is paramount.

That’s why key storage and a strategic security protocol are crucial, and we’re here to help you put the right measures in place.

Why is key management such a big deal for businesses?

Despite the digital revolution, where many businesses' key files and finances are managed online, commercial space security breaches are still a top priority for managers and business owners.

According to the last Commercial Victimisation Survey, findings concluded that around 26% of business premises in England and Wales experienced some form of crime in 2024, theft being one of the most common offences. That data alone reinforces the importance of key protection, but why else should key management be prioritised?

Aside from having to change locks unnecessarily and experiencing reputational damage if incidents occur, there are numerous risks that come as a result of negligence of key and asset storage.

Mitigate unauthorised access

Keys should only ever be accessible to authorised personnel. A lack of secure key cabinets increases the chances of keys being damaged, replicated illegally, misplaced or even used without permission. All of these scenarios increase the potential of destructive security incidents and costly remedial action.

Prevent operational disruption

Depending on your business’s reliance on certain keys and fobs, inadequate key control is likely to have a knock-on effect across everyday operations. Lost or unavailable keys might impact the following:

• Opening and closing times, delaying staff and appointments
• Access to essential equipment, vehicles or storage areas
• Scheduled maintenance and safety checks
• Client or visitor appointments
• Emergency response times
• Employee productivity and working hours
• Security handovers

It’s crucial to assess the nature of your business, the spaces and assets you’re responsible for and any regulatory or security requirements before choosing suitable key storage and safes for each aspect.

Client responsibility and professionalism

Depending on the nature of the business, losing or misplacing a key can also mean having to explain delays to clients, reschedule appointments or temporarily halt any services, all of which impact productivity, professionalism and reputation.

Support audit and compliance requirements

Clear key control supports accountability. Knowing who has access to which keys and when helps businesses demonstrate responsible security practices during audits, inspections or insurance reviews, and reduces the risk of negative feedback or penalties relating to non-compliance.

What types of businesses benefit most from secure key storage?

Physical crime against businesses in the UK is not rare. There is no clear indication as to whether any industry is deemed ‘safe’, poor security measures and a lack of high security key safes can affect all types of organisations.

That said, wholesale and retail locations saw especially high rates of victimisation in 2023 and remain one of the main targets for theft and unauthorised access.

Offices and commercial buildings

Open office spaces and larger commercial buildings that give shared access to staff and contractors are always at risk. Highly populated buildings need high-security key storage, with clear responsibility outlines and controlled access procedures to reduce the risk of loss or misuse.

Businesses managing vehicle access and fleets

Organisations that rely on company cars to operate, or garages and car dealerships, hold a great deal of responsibility in the management of multiple keys. Car key storage and  key tracking are essential in maintaining not only operational flow, but accountability and security - especially when handling the belongings of others.

Property, facilities and maintenance-led businesses

Any companies with a high level of responsibility for managing numerous sites, out-of-hours access or even emergency entry benefit from outdoor key safes. Professional-grade key locks like ours ensure only the authorised internal staff can access the keys when they need them, keeping them easily accessible without compromising security from external persons.
